Office Coordinator 2

Office Coordinator (Stores, Logistics & Aftersales)

Reporting to the Head of Sales and Business Development, you will be responsible for:

  • The smooth running of the office on a day-to-day basis – overseeing all office administration, including office housekeeping tasks, coordinating and preparing for all office meetings, HR administration and marketing activities.
  • Meeting and greeting of all visitors.
  • Liaising with the Head of Sales and Business Development and/or Lighting Designers and Engineers to oversee the day-to-day ordering and distribution process.
  • Assessing and organising logistics in terms of transport requirements, receipt, handling, storage and distribution of supplies and establish proper warehousing and recording systems.
  • Coordinating works planning activities by scheduling and allocating delivery and installation works as well as liaising with clients to set appointments.
  • Updating the progress and status of all orders, including closing of orders upon delivery to client.
  • Handling and resolving aftersales requests and complaints.
  • Performing daily stock checks and stock takes on an annual basis.
  • Assisting with sales and tendering projects, including preparation of quotations and coordination of tenders prior to submission.

The ideal candidate would:

  • Have at least three years’ experience in administration and/or logistics.
  • Be able multi-task.
  • Be able to build effective and strong relationships with the team, customers, suppliers.
  • Have highly developed communication skills, both verbal and written and will be fluent in English.
  • Have strong working knowledge of Microsoft applications.

Accounts Executive

Job Role:
Glow is a lighting company offering top-quality lighting products and Skyway is a property company involved in the rental, sales and renovation of properties.
We currently have an opportunity for a motivated individual who aspires to grow the finance function of both companies. We are seeking to recruit an Accounts Executive to join our team.

Reporting to the Managing Director, you will be responsible for:

  • Organising and controlling an accounting system which ensures accurate management of the companies’ financial affairs in areas of assets, liabilities, income and expenditure, and earnings based on past, present, and expected operations
  • Verifying and allocating details of accounts receivable and payable transactions
  • Carrying out bank reconciliations
  • Preparing invoices, cheques, account statements, reports, and other records
  • Monitoring debt levels and following up on outstanding invoices
  • Producing monthly revenue reports
  • Preparing and finalising payroll runs for employees
  • Coordinating and preparing regulatory filing and reporting
  • Coordinating with external auditors for the annual audit
  • Maintaining external relationships with banking and other institutions.

The ideal candidate would:

  • Have at least three years of experience in accounts
  • Be in the final stages of obtaining an accounting qualification
  • Be familiar with all local and corporate regulations and laws
  • Be organised and methodical
  • Be proficient in using accounting software, preferably Xero and Shireburn.
